Pick the one that sounds like you before you fill anything in. Below is what an hour in each role actually looks like, which block it sits in, the age it opens at and the check it needs.

How a festival day is cut up.

A nine-hour operating day, carrying at least five hours of programme, split into four-hour blocks with a handover in the middle. A build day sits in front of the weekend and a strike closes it.

One block is a real contribution and it earns the shirt, the meal and the hours letter. Two blocks make a full festival weekend, and that is what most people on a first-year list end up giving. Ten hours a person is the figure we plan the corps against, which is a fraction of the twenty-seven hours a festival gets out of a volunteer once the same faces have come back for five years.

Working two different roles across the weekend is normal and welcome. The gate in the morning and the waste sweep in the evening teach a person more about a festival site than either one twice.

Nine roles, and the honest version of what the hour feels like. Every one of them gets a briefing before the block and a coordinator on the radio during it.

01

Gates and welcome

You stand at the edge of the field and every day of somebody's summer starts with your face. Clicking the counter, handing over the map and the passport, pointing at the toilets, saying where the Lebanese pavilion is for the fortieth time and meaning it every time. Entry is free, so nobody at this desk is taking money — the job is welcome and count, in that order.

Kitchen street

The busiest lane on the site. You shape the queue so it stops eating the walkway, clear tables the moment a family stands up, keep the water points full, and walk a delivery trolley through a crowd without touching anybody. Cooking and selling belong to the community crews and the vendors who hold the food-handler certificates; your hands stay on tables, bins and bottles.

Stages

Half backstage, half front. Walking a dance company and twenty costumes across a field at the right minute, holding the viewing area and the accessible seating clear, running water to a drummer in August, and standing where the sightline dies so a family finds the good spot. The stage manager owns the clock; you own everything twenty metres either side of it.

Information

The desk the whole field walks to. Programme times, lost phones, lost grandmothers, where a wheelchair charges, which pavilion is serving the cold soup. Second languages do their heaviest work here, and this is the role that holds personal details in its hands, which is why it sits behind a level 3 check and an 18 floor.

Children's zone

Crafts on long tables, passport stamps, the paint that ends up everywhere, and a steady count of who is in the pen and who they leave with. It is the warmest four hours on the site and the most watchful. A vulnerable-sector check is a condition of the badge, it is free with our letter, and it takes a fortnight to come back — so this is the role to decide on early.

Waste and clean-up

Sorting stations, bin runs, and the sweep after the last set. Unglamorous work that decides what a neighbourhood thinks of this festival on Monday morning, which is why it carries a name, a coordinator and a place in the honour roll like every other role. Gloves, a grabber, a good playlist in one ear.

Accessibility

You are the person who removes whatever stands in a visitor's way — a cable across a route, a chair in the accessible viewing zone, a queue that has swallowed the accessible lane, somebody who needs walking from the Para Transpo drop-off to the gate. Ontario law puts a designated volunteer on this during the event, and the whole corps trains for it whether they hold the badge or not.

Parking and bike valet

High-visibility, outdoors, on your feet, and in charge of the first ten minutes of a stranger's day. Waving cars into rows, running the bike valet and giving out the tags, keeping the accessible spaces empty for the people they belong to and the emergency lane empty for the truck nobody wants to see.

Build and strike

Friday afternoon and Sunday evening. Tents, tables, fencing, signage, cable runs, and then every bit of it back into the trucks in the dark. Lifting work with a briefing in front of it and a coordinator watching the weights. Anything that needs a licence or a lift stays with the contractors.

Sign in fifteen minutes early, take the briefing, work the block with a coordinator on the radio, hand over to the next pair, sign out. A meal comes with any block of four hours or more, water comes all day, and the hours go on the letter that closes an Ontario forty or opens a scholarship file.

  • Fourteen is the planned floor across the corps, in step with the age other pavilion festivals in this country hold.
  • Money, licensed areas and security stay 18 and over, and none of the nine roles above involves any of the three — entry is free and the licensed work is contracted out.
  • A level 3 check needs an adult applicant, so the three roles that hold personal details or work beside children open at 18.
  • Two academy courses come before any badge — Event accessibility and Safety on the ground — plus the briefing for your own role.

Work a volunteer cannot take on.

Six jobs on this site belong to people who hold a licence, a certificate or a contract. Saying so on the roles page saves a keen volunteer from being handed something the law keeps away from them.

Ontario licensing · City of Ottawa event rules

  • Licensed security. Ontario licenses it and the City checks the licence.
  • Pouring alcohol without Smart Serve certification, in any year we hold a licence.
  • Preparing or selling food without a food-handler certificate.
  • First aid and medical care. A first aider is dedicated to the position and holds no second role — that is the City's rule, written in those words.
  • Pyrotechnics and any work at height.
  • Operating machinery, lifts and anything with a ticket attached to it.

When a role is actually yours.

Naming a role today puts you first in the queue for it. Roster and shift booking arrive with the volunteer account in winter 2027, and the checks have a hard door in June.

Recruitment calendar · Ottawa, summer 2027

This city hands its volunteers around a fixed calendar. Race Weekend takes more than 2,500 people in May; Jazz, Dragon Boat and Bluesfest hold their portals open through the second quarter; Capital Pride starts training on 20 July. Between the day Bluesfest comes off LeBreton Flats in mid-July and the day GreekFest starts in mid-August, no large outdoor event in Ottawa is competing for a volunteer corps. That gap is where our weekend sits, and it is why targeted recruitment runs in the second half of July.

Police checks are the part with a real deadline. Ottawa Police take seven to ten business days, the applicant has to be an Ottawa resident, and applications close on 20 June 2027 for an August festival. A role that needs a check is a role to claim in the spring.

Can I work two different roles across the weekend?

Yes, and the coordinators like it. Two blocks in two roles is the most common shape on a first-year roster, and it is how a volunteer finds the role they come back for.

What if I pick a role and hate it?

Say so at the handover. Swapping between roles between blocks is a normal thing to ask for and costs nobody anything — a coordinator would far rather move you than lose you.

Which roles work if I cannot stand for four hours?

Information and the children's zone are seated roles by design, and gates can be run from a chair. Tell us on the form what your body needs and the roster is built around it rather than in spite of it.

I am under 18. Which roles are open to me?

Six of the nine: gates, kitchen street, stages, waste, parking and build. The three that need a level 3 check are closed to a minor because the police cannot issue one, which is a rule from outside this festival.

Can my friends and I work the same block?

Ask on the form. Pairs are rostered on request and groups are rostered onto build day and the sorting stations, where a team that arrives together finishes something together.

Do I have to pick a role now?

No. Tick put me where you need me on the sign-up and the coordinator comes back with two or three that fit what you have told us.
