A name on a list, read by a person, binding on neither of us. Registration and shift booking are a separate thing that arrives in winter 2027, and everyone on this list hears about it first.

The form takes five minutes with them and fifteen without. Approximate answers are welcome on all five, and every one of them can be changed later by writing to the coordinator.

How old you will be on 7 August 2027

Age decides which of the nine roles we can offer, because three of them need a level 3 police check and the police cannot issue one to a minor. It is the only thing we ask about a person in order to place them.

One or two roles you like the sound of

Nine of them are written out on the roles page, an hour at a time. Ticking «put me where you need me» is a real answer and a useful one — a coordinator will come back with two or three that fit.

The days you could give

Friday build, Saturday, Sunday, Sunday strike, or the months before the weekend in an office. Broad is fine. Nothing here is a booking.

Any language beyond English

This is the answer that changes a roster most. Second languages decide who stands at the gates and who holds the information desk, where the whole field comes to ask.

An emergency contact

A name and a number. It is needed before a first block, and today is early for it; and it stays with the two coordinators who run the day.

from one person, which is what a first-year corps is built out of

Here is the arithmetic behind that, and it is an estimate: a two-day festival of the shape we are planning takes about 3,200 volunteer hours, roughly a third of them recruited by the festival itself and the rest arriving with the pavilions. At ten hours a person in a first year, that is a list of 240 to 320 names. A mature festival gets closer to twenty-seven hours from each volunteer, and it takes years of the same people coming back to get there.

Three of the nine roles need a level 3 police check, which the police cannot issue to a minor. This is the only thing we need in order to place you.

Ottawa Police process a police check for a resident of Ottawa. Six of the nine roles need no check at all, so this changes which roles we can offer you.
We sign the school form on letterhead, with dates, role and hours.

What happens to your answers.

Every field on the form is there because a decision depends on it. The ones a festival usually asks for and never uses are missing on purpose.

What happens to what you send

  • Your sign-up is used to run the volunteer corps. It goes to the coordinator and into the volunteer record.
  • Marketing letters need a separate tick, per mailing type, none of them pre-ticked. Consent given for one type covers that type alone.
  • Dates of birth, home addresses and citizenship are never asked for. Age comes as a band, and it comes because three roles have a legal floor.
  • Your emergency contact stays with two people — the coordinators who run the day — and is used for one thing.
  • What you write in the notes box is read by a person and used to build a roster around you. Access needs go nowhere else.
  • Leave at any point by writing to the coordinator, and the record goes with you.

Volunteering is how most people meet a festival from the inside, and this city has a lot of practice at it — one count of thirty-seven Ottawa events put 16,632 volunteers and more than 310,000 hours behind them in a single year. A first edition earns its place in that number by being straight with the people who give it their Saturday.

Can I sign up now and decide the days later?

Yes, and most people do. Tick put me where you need me, leave the days broad, and the coordinator comes back with options once the roster is real.

What if I can only give one shift?

One block is a real contribution and it earns the same shirt, the same meal and the same hours letter. Four hours from a few hundred people is how a first edition gets built.

I am not in Ottawa yet.

Put your name down and say so on the form. Ottawa residency applies to the police check, so a volunteer from out of town takes one of the six roles that needs none.

Can my community's pavilion crew sign up through this form?

A pavilion crew is organised by its own community and registered through the pavilion agreement, which is on the communities page. Use this form to work the festival site itself.

Can I change my answers later?

Write to the coordinator and it is changed. Roles, days and languages all move around freely until the roster is built, and even then a swap is a normal thing to ask for.

When do I actually hear from a human?

An acknowledgement on the screen as soon as it sends, a person within ten working days, and the real conversation when registration opens in winter 2027. If the plan changes before then, everyone on this list is written to first.
